If this type of travel is booked and the user includes a Note to Agent regarding one of the above, the system will kick the reservation out into an Agent Assist queue to be worked the next business day. When this happens, the traveler is at risk of losing the fare that they purchased, if the fare changes overnight or especially if the reservation is over a weekend and/or holiday.
Whether booking travel online or full-service, it is important that the traveler/arranger reviews the travel itinerary to make certain all information is correct at the time of booking confirmation. The traveler, arranger or even the agent can at times make an unintended error which can be fixed within 24 hours of the booking. Therefore, it is extremely important to review the final travel itinerary when received to double check all the information for accuracy. Once the 24 hours has passed, the transaction can no longer be voided and corrected. It must be changed, which then incurs a change fee. For this reason, all full-service itineraries include a reminder to review itineraries when received, since the traveler themselves is not booking the travel. Online reservations should be reviewed as well since we have had travelers and arrangers accidentally book the wrong dates or times.
Based on the University’s privacy policy and the PCI Compliance required of departments handling credit cards, please remember to telephone Travel Services when you need to communicate a credit card number. Do not fax or email credit card information to us. In addition, if you are ever speaking directly with a supplier (such as a hotel), and they ask that you to fax a copy of a credit card on both sides and your driver’s license, do not do this. If you cannot convince them this is a privacy issue, contact Travel Services.
