Juvenile books for all Penn State locations are currently processed by Cataloging and Metadata Services and Acquisitions' Commonwealth Acquisitions Services Team (CAST) and Approval Program and Gifts Team (APGT) staff. The field-by-field information here applies to all juvenile books, except for the local call number information found in the Vol/Copy Call Number box, which does not fully apply to the University Park Education & Behavioral Sciences Library. Special documentation is available for Juvenile Books (EBSL).
CCL Juvenile books are to be sent to Cataloging by CAST or APGT when full or appropriate copy is not available. Items needing call numbers and subjects, 586 notes, having errors in the 1XX/7XX, or in need of orginal cataloging are to be referred to Cataloging and Metadata Services. CAST and APGT staff members are to follow the same FastCat rules and procedures for the searching and use of appropriate copy that they would for any other monograph.
Copy Cataloging members of Cataloging and Metadata Services will review and catalog CCL Juvenile monographs as appropriate, referring items in need of subjects, call numbers, and original cataloging to the Education and Behavioral Sciences Library cataloger.
Items found to be a CCL location duplicate are to be returned to CAST. CAST staff members will contact the appropriate campus locations to make decisions regarding adding second copies versus forwarding to APGT for gift cataloging.
Juvenile books are processed in much the same way as most regular English monographic books. Items of note and exceptions are listed in the field-by-field instructions. For any fields not listed below, see Field-by-Field Guidelines in Record Creation for processing instructions.
Copy will often contain just one ISBN while two or three can be found on the item. Add and correct ISBNs as necessary. Copy for juvenile materials may contain two or three ISBNs that represent various published formats or additions of a given work. Examples of this could be board book, library copy, paperback, big book. These are to be treated as different items. Refer as necessary to Cataloging and Metadata Services. See Field by Field Guidelines - 020 in Record Creation for further information.
CCL libraries use PZ call numbers for juvenile fiction. Accept PZ call numbers classed from PZ5 to PZ10.3 (with the exception of PZ8.7 through PZ10). Any other PZ call numbers including PZ8.7, PZ8.9, PZ9, and PZ10 must be referred to Cataloging and Metadata Services.
Refer to the latest version of the Complete Location/Marking Description List for the most recent Home Location information.
If a PZ7 and a PS call number both appear on copy, the PZ7 number is preferred. PZ call numbers contain lower case letters. It is important to make a clear distinction between lower and upper case letters when writing down PZ call numbers.
Fayette is the only location that uses Q or F for oversized in its Juvenile call numbers.
For all locations, when a juvenile book is less than 10 cm. in height, use mm. to denote size in the 300|c.
Lehigh Valley uses a lowercase "j" at the end of the call number to distinguish books in its juvenile collections. Append the letter "j" to the call number, preceded by a space.
Free form call numbers are used for certain types of Education & Behavioral Sciences Library juvenile material. When cataloging a juvenile book for a location other than EBSL and a CAT record is found with only a free form call number, input an LC call number for the new Library location by copying the 050/090 from the bib record, if an 050/090 is present and usable. If an 050/090 is not present in the bib record, or if it is not an acceptable LC call number, refer. If no call number is found, refer to the Education and Behavioral Sciences cataloger.

In general, accept copy unless there is an obvious error. CAST and APGT members should refer items having errors in 1XX/7XX fields to Cataloging and Metadata Services.
Records for juvenile books will often have access for illustrators, though older records may lack access for them. When access for illustrators is lacking, do not refer these older items or add access for the illustrators.
Occasionally, older records may lack access for co-authors. These should be referred to Cataloging and Metadata Services.

Copy for older juvenile books may not include a 250 field for 1st edition. If the item matches copy in every way except that "1st edition" is found on the item but not in copy, add a 250 for "1st ed." CAST and APGT members are to refer the item to Cataloging and Metadata Services so that an edition statement can be added.
If the edition statement on the item differs from the edition statement in copy, other than "1st edition" described above, consider it a non-match and continue searching for copy.
Popular juvenile books may be published in several editions by the same publisher in the same year. For instance, a title may be published as the "First Puffin-Easy-to-Read Edition", but also published separately as the "First Puffin Newberry Edition." These are separate publications and should be treated as such - each being given their own record. Be careful to avoid duplicate call numbers in cases such as these (see Classification in Record Creation documentation).
If the imprint information in copy varies from that on the source, treat as near copy, following the procedures outlined in Record Creation. If it matches according to Match Criteria documentation, follow processing instructions as stated in Record Creation.
Many juvenile books have no page numbers. Copy will either provide the page numbers in square brackets, or simply state 1 v. (unpaged). Accept either practice.
Some juvenile books consist entirely or primarily of illustrations. Accept copy or edit as appropriate.
Picture books tend to be longer than they are tall. When that is the case, provide both measurements, listing the height first.


Generally, 4XX/8XX for juvenile books are the same as those for regular monographs; however, while LCAF should be checked when a series is not established in The CAT, it is not necessary to refer juvenile book series entries that are not found to be in The CAT or LCAF. When copy lacks a series statement which is found on the item but not in The CAT or LCAF, enter it in a 490 with a first indicator of 0. CAST and APGT members must refer items to Cataloging and Metadata Services that lack a series statement in copy.
Generally, 5XX notes for juvenile books are the same as those for regular monographs. Accept 520 notes and 500 notes in copy that describe the item. Do not refer bibliographic history notes that lack access points for juvenile books.
Frequently , juvenile book records contain a 521 field that gives the target audience. Accept copy. Be sure to provide the correct indicator from copy. The indicator generates a display constant on the patron display. For example, the indicator 1 generates the display constant, Interest age level.

Juvenile books may contain notes regarding awards or honors. Sometimes these notes may appear in general 500 notes, in which case they may be left there. However, we have been asked to provide specific notes for two noteworthy Juvenile awards and honors, the Caldecott and Newbery, if missing from copy. These books will have a "seal" on the cover of the book indicating they are an award recipient or honorary. If copy does not contain any information regarding the award or honor, Cataloging and Metadata Services staff should add a 586 note. CAST and APGT members should refer Caldecott and Newbery items to Cataloging and Metadata Services when copy lacks a 586. Blank indicators generate the display constant, Awards. If an idicator 8 appears in copy, change it to blank.

Accept subject headings with second indicators 0, 1 and 2. Do not accept subject headings with indicators 3 - 7, with the exception of 655, which has a second indicator of 7. See Subject Heading Treatment chart.
If there are no subject headings in copy for juvenile fiction or literature, process as usual. Do not refer. Refer non-literary items lacking subject headings as necessary.
This field contains terms indicating the genre and/or form of the materials being described. Retain when found in copy. The second indicator will have the value of 7.
Field 655 should have a subfield |2 present. If there is no |2 in copy or in The CAT, delete the 655 field.


CCL surrogates for juvenile materials are to be processed following the regular workflow for the cataloging of surrogates. Apply the guidelines and exceptions noted in the documentation above. Refer as you normally would for any questions or concerns and for all items in need of subjects, call numbers, and original cataloging. Referrals go to the Education and Behavioral Sciences Library cataloger.
