Leisure Reading Procedure

 

A. Leased Books From Baker & Taylor

We receive boxes of full shelf ready, leased books from Baker & Taylor. The records for these books will have no call/copy record for this location in The CAT until they are unpacked and processed by CatMarking staff. In the case of first copy, no bib record will yet be present in The CAT at all.

All books should be Added Locations/Copies, or have records available in OCLC and be shelf ready with call number, barcode, and tattle-tape. They will have a property stamp for B&T (i.e., Baker and Taylor), and possibly a reference to Penn State University Libraries, University Park.

Upon receipt, the following steps should be taken:

  • Check to make sure all books in the box match the invoice. Put a check mark in pen next to each book on the invoice.
  • Using a yellow highlighter, put a check mark in the top right corner to signify to the Librarian that we but the "Baker & Taylor lease plan book" statement in the staff note area of each book.
  • Search the ISBN to see if we already have a copy of the book in The CAT.  Add a copy or a new record as necessary (see instructions below).
  • Some books may not have a call number on them - give those to Alice to print. Also give her any book that may have a totally incorrect call number to print out a new label.
  • When finished, the books go on the Leisure shelf  by the copier.


When leased Baker & Taylor books are ready to be returned to B&T, Leisure Reading staff will take care of the record maintenance (i.e. withdrawals) and physical processing involved.

B. Cataloging Instructions

  • Add the LEISURE-PA location to any permanent record already in The CAT. The LEISURE-PA locations will be manually deleted as the leased titles are withdrawn by Leisure Reading staff.
  • Do not use any brief records input by campus staff for their leased collections. Records used for Leisure Reading should be full level bib records.
  • If no record is already present in The CAT, we will FastCat the title and add LEISURE-PA as the first location.
  • Accept the call number and cuttering as assigned by B&T, which may differ from other call numbers for other locations. The call number on the leased book and in its created item record should match. EXCEPTION: If the B&T call number is incorrect, fix it and send the item to CatMarking for a corrected call number label.
  • Do NOT add a Q or F to Leisure Reading call numbers for oversized items.
  • Create an Item Record with the Following Values:
    Library: UP-PAT
    Item ID: Barcode
    Type: BOOK
    Home Location: LEISURE-PA
    Circulate: YES
    Permanent: NO (Only for the item records created for leased books)
    Permanent: YES (For items from our permanent collection held in LEISURE-PA temporarily)
    Shadow: NO
    Call Number Label: LEISURE should appear above call number label

  • Date Cataloged should be NEVER for new B&T titles cataloged when no previous record exists in The CAT. NOTE: When adding a PSU location to a record with only a B&T leisure holding, make sure to check the Date Cataloged and change it to TODAY if necessary.

  • In the Extended Information Staff Note area, input the following, preferably using a macro for consistency: Baker & Taylor lease plan book

C. Transferred Books

Library: UP-PAT

Home Location: LEISURE-PA
Circulate: YES
Permanent: YES
Shadow: NO
Mark with a label added above the call no.: LEISURE

When temporarily transferred books are ready to be returned to the stacks, Leisure Reading staff will take care of the record maintenance and physical processing involved. If any remarking is necessary, they will send the item to CatMarking.

 

D. New PSU Books

Selectors may request new books from the display in the Approval Plan area to be routed to the Leisure Reading area. AP staff will catalog these books for the Leisure Reading area and send to Marking to be marked for Leisure. The records will be created using the same information as for transferred books noted above.

When temporarily transferred books are ready to be returned to the stacks, Leisure Reading staff will take care of the record maintenance and physical processing involved. If any remarking is necessary, they will send the item to CatMarking.

 

E. Shelving for Leisure Collection Items

Leisure signage has been added to the front pick-up shelves by the copier that are used for books received here and cataloged for Leisure Reading.
