MARCIVE records sent to Cataloging for updating are recognizable because they will contain the following:
Control record:
Title control # may contain a number with a prefix of tmp.
Created by will say MARCIVE
Date cataloged will be NEVER.
Bib record:
590 Sent to Cataloging is input by Social Sciences staff to help track records
Vol/Copy record:
Call number will contain SUDOC number
Class scheme will be SUDOC
Library will be UP-PAT though item may be for EMS or other Library location noted on accompanying flier
Home Location will be INPROCESS (changed by Social Sciences staff before sent to Cataloging)
Item ID will contain system generated item ID
Flier:
DOCUMENTS TO CATALOG FOR OTHER LIBRARIES will appear at top of flier.
The section If not owned, catalog for: appears in the upper half of flier with intended Home Location written in.
MARCIVE records must be updated by Cataloging as appropriate. SUDOC call numbers in the Vol/Copy record should be replaced by LC call numbers and the Class scheme changed to LC. The Library should also be updated as necessary and the system generated item ID should be replaced with a real barcode number, as well.
Some MARCIVE records are received for which matching copy already exists in The Cat. Merge the MARCIVE record into matching copy using the Transfer wizard. The 086 field should be retained or re-input. All MARCIVE records are received in monographic form. Be careful to search The Cat for other formats, especially Serials, since established practice should be followed.
Example:
Control record:

Bib record:

Call Number/Item record:

The depository item from the above example arrived and was sent to Cataloging to be cataloged for EMS. When the item was received in Cataloging, the MARCIVE record showed the SUDOC Call number with Class scheme SUDOC, UP-PAT as the Library, INPROCESS as the Home Location and a system generated Item ID. The copy will need to be updated by changing the SUDOC Call number to an LC call number, the Class scheme to LC, the Library to UP-EMS and by inputting a real barcode for EMS.
Because the Bib record also needs to be updated in the example above, it will be necessary to search for better copy. If found, replacing the MARCIVE record may automatically update many of the fields in the Vol/Copy record as well as the Bib record; however, as stated above, the 086 field should be retained or re-input.
MARCIVE "corrections", in most cases, are physically separate from the main original text and may possibly consist of only one or two corrected sheets - like replacement pages - that can be tipped into the original. They get their own MARCIVE records.
Corrections made up of only a few sheets will be sent directly to the holding subject library for tip-in and Social Sciences staff will deal with the corresponding records themselves. They will be missing a 300 field and contain the suffix /CORR at the end of the 086.
Larger corrections, such as an entire text being replaced instead of a few pages, will be sent to Cataloging where they should be treated as regular replacements. The suffix /CORR will again be present, a 300 field will be present, and a 250 [Corr. ed.] may also be present.
