Cataloging Criteria

Criteria for Microform Sets Cataloging
Condition Action
IF more than 100 titles per set AND we can purchase/obtain records THEN purchase individual title records at the title level; otherwise, catalog at the set level, one record for entire set
IF less than 100 titles per set AND we can purchase/obtain records THEN purchase individual title records at the title level; if we cannot purchase/obtain records, still catalog individual titles
IF NAACP greater than 100 records THEN purchase records
 

ILL Requests

Occasionally, ILL will receive a request for a microfilm that is lacking a record in The CAT. When this occurs, one of two procedures outlined below will be followed.

Handling ILL Requests
Condition Action
IF a microfilm collection has been fully analyzed (i.e., individual records have been added/loaded for each title), but one or two titles are missing from The CAT
THEN NML staff can follow the procedure that is used by the other subject libraries, which is to add a brief title to The CAT for the missing titles so that they can be circulated. When they're returned, the reel of film can be sent to Cataloging so that we can replace the brief title records with full level records.
IF a collection has not been analyzed, but is represented in The CAT with a single set record
THEN the requested item/title should be barcoded and linked to the set record by the creation of an item record for circulation purposes. This item would NOT need to be routed to Cataloging upon its return.

Cataloging Procedure

PSU follows LCRI, instead of AACR2 (chap. 11) on microforms:

Microforms are treated as reproductions, with a 533 note. That means the 300 field will refer to pagination and size of original (paper) item.

If the item is originally published as a microform, then it will be cataloged according to AACR2 rules: the 300 field will describe the microform itself. However, since microforms are, by definition, a reproduction, such instances will be very rare: AACR2 Appendix D says a microform may be defined as "a miniature reproduction of printed or other graphic matter which cannot be utilized without magnification."

Searching

Match criteria is based on the original title page, not on the reproduction information. Any copy that matches the title page can be considered an exact match, regardless of the presence or absence of information about the reproduction.

When matching copy is available in The CAT, use it. Include a 533 note as indicated below to describe the copy in hand.

Field by Field Guidelines

Fixed fields:

PSU does not treat micro-reproductions as type r, but OCLC does. Update Dat_Tp, Date1 and Date2 according to the following:

Call Number

All reproductions are classified by subject, based on the original work. The date of publication (i.e., the original publication date), not the date of reproduction, should be included in the call number. A note may be included in the Comments section of the Vol/Copy screen indicating the reproduction date for the item in hand, but it is not necessary.

The GMD for microfiche, microfilms, superfiche, etc. is |h[microform].

260

The date of publication is taken from the original title page, not from the reproduction information. When the reproduction is a thesis, the 260 will contain only |c subfield.

Many theses are issued in leaves, rather than pages. When the reproduction is a thesis, describe the original as completely as possible. When 300|c is lacking, do not add the subfield based on the reproduction. (It is very common for theses to lack a 300c.)

502

Many reproductions were originally theses. The Rec_Type in the Fixed Fields area may be "a" on copy but should be changed to "t". A 502 is added to indicate the type of thesis, the University awarding the degree, and the year of the thesis' acceptance. This field will typically be present on copy. When it is not, look on the UMI reproduction page for complete information in a useful format.

Field 533 is used to describe the reproduction. Subfield specifics are given below.


533 Subfields
Code Definition
|a Describes the type of reproduction. Use Photocopy as the default. Use Photocopy (Negative) when the printing is reversed (i.e., white on black.)

For microforms, you will usually use microfilm or microfiche.
|b Place of reproduction.
|c Agency responsible for reproduction.
|d Date of reproduction. Take from the preliminary pages, not the publication date.
|e Physical description of reproduction. Describe only the elements that differ from the original. Use ISBD punctuation to separate elements (a colon after the |a subfield, a semi-colon after the |b subfield.)
|f Series statement of reproduction. Use this subfield in conjunction with an 830 to describe a reproduction-specific series, rather than a 490 or 440.
|n Note(s) about the reproduction. Include any miscellaneous notes about the reproduction here.

830

Sometimes a series will appear on a reproduction that is not part of the original work. When this occurs, the series description is put in the 533|f and the tracing in an 830. Do not use a 490 or 440 to describe a series that applies only to the reproduction.

Other Information

Microfiche for the News & Microforms Library typically use auto-generated item IDs.

Titles consisting of multiple fiche usually get a call number in this form:

GV181.35.B57 2004 pt.1-6

Such a set of fiche is only assigned one auto-generated item number.

If there is only one piece of fiche, there is no need to use "pt.1" at the end of the call number:

GV181.35.B57 2004

Microfilms are typically assigned regular barcodes, which are placed on the microfilm boxes.

Bound-with microforms will not be processed as such by Cataloging staff.
