Using the 006 Field in WorkFlows

Cataloging Networked Resources Possessing Multiple Aspects

Step 1

Select the format template for creating new records (this will set the Leader/06):

  1. Bring up the Add Title wizard for creating a new record in WorkFlows.
  2. Select the workform based on the definition of "Type" and the primary aspect of the item. Decide what is the primary content emphasis of the item: if it is predominantly of a textual (or 'language') nature, then select the MARC format in the WorkFlows Wizard. If the the computer software aspect is predominant (including numeric data and online systems/services), then select MRDF in the format drop down menu.

 

Step 2

Set the 006 field for the secondary aspect of the resource:

  1. In the 'add 006' drop down menu select the secondary aspect of the resource being cataloged.
  2. In the case of a networked electronic resource whose primary aspect is language (monographs) or some other aspect in nature (music, maps, etc.), select COMPUTER FILE.
  3. In the case of a networked resource whose primary aspect is computer software (MRDF format), select the secondary aspect according to the content in question (monograph, serial, map, etc.).

 

Step 3

Select Copy Defaults (Circulation Characteristics)

  • The Type field is found in the 'Copy defaults' window
  • Select ONLINE for all networked resources.

The primary purpose of the Type field is to identify the item's circulation characteristics. Through the Unicorn policies, the library defines rules for the loan period and fines for each item Type. Additionally, the Type field may be used to denote an item's special characteristics for the benefit of the user at a workstation or for statistical analysis purposes. Typical terms used as item types might be BOOK, PERIODICAL, MAP, PROJECTOR, VCR, FILM, and FILMSTRIP. Select from the list of valid item types using the pull down menu.

Step 4

Catalog Record According to the Monographic Networked Resource Guidelines (Or other format based on predominant aspect) Internal Working Notes:

The format in this field has already determined the display of the template on the lower part of this screen. Changing the record format at this stage has no effect on the template already present. Select from the list of valid format names by using the pull down menu.

The record format determines which fields are required by the library, which descriptive entries may be edited, and which entries should be indexed for searching. How these entries are displayed, entered, and edited is determined by the entry list, or list of tags entered in the Entries field. The Format policy is used to describe each record format. Each line in a Format policy specifies the following elements.

  • Entry name
  • Entry label name (optionally displays with the data)
  • Whether the completed entry is required for this format
  • Whether the entry should be indexed (and therefore be searchable)
  • The minimum and maximum length of the entry
  • What kind of data the entry may contain (numeric, alphabetic, alphanumeric, printable, unlimited)
  • If relational searching is permitted with numerals (values) in that entry.

Each format may be assigned certain display defaults in library policies. Entries to be displayed for each format are defined with the synonyms FULL, BRIEF, TEMPLATE and ALL. The first three entry words, FULL, BRIEF, and TEMPLATE, identify which entries (tags) display for a FULL or BRIEF display for each format, and which empty entries display for a Create Item for that format. The synonym ALL displays all entries present in a record.

Add Empty 006

The add empty 006 option is located between the Fixed Fields option and the Add Empty Entries option. The pull down menu associated with this field contains the 15 type code names, plus the default choice, None. If None is used, then, unless the cataloger specifies a type code, no empty 006 fixed field template will display. The Add Empty 006 field controls which fixed fields are displayed in the Create Item screen area, based on the type of material being cataloged.

If the record being edited already contains 006 fields and if the fixed fields value is Yes, these 006 entries display in their special formats.

If the fixed fields option is disabled, then the 006 entries only display in the bibliographic description. Once the options are selected, press Enter or click Go. Unicorn creates the next Edit Item screen area, similar to the following.

If the record format does not contain a 006 entry, then the contents of the add empty 006 field are ignored. If the fixed fields option is disabled, then the contents of the Add Empty 006 field are ignored. If fixed fields is enabled and Add Empty 006 is not None, then in addition to the empty bibliographic template, a blank formatted 006 field displays for the specified 006 fixed field format.

If the add empty 006 contains BOOK (TYPECODE:a) or MANUSCRIPT (TYPECODE:t), then the new fixed field displays as follows.

If the add empty 006 contains SERIAL (TYPECODE:s), then the new fixed field displays as follows.

If the add empty 006 contains Computer File (TYPE-CODE: m), then the new fixed field displays as follows.

The formatted 006 contains a default value for the type code that matches the name specified in the add empty 006 field.
