Adding URLs to Map Sets

The Maps Library has been creating online index maps for many of their sets. We need to provide access to these online index maps in the Bibliographic record in Workflows, so that the index map is available to users of The CAT.

When an online index is available for a set record, the Maps Library will notify us by printing out the map and attaching it to the set folder, and writing the file name on a yellow Post-It note. When you see the note and map, you need to add a link in the bib record.

Use field 856 to create the link; the indicators are 42. Use a subfield 3 to describe the contents of the link, and subfield u for the link itself. For example:

You'll need to type in the file name supplied by Maps Library. The file names are based on the call number originally assigned to the set; if you change the call number, note that the file name will not change. Make sure you type the file name in the URL as given in the note, with special attention to case (filenames will be in lower case.)

A macro is available in Macro Express to input most of the 856 field; the macro is [Ctrl]+[/]. Create a new field and make sure the cursor is as far to the left as it can go before invoking the Macro. You will still have to add the file name to the field, of course.
