Team Meetings

The Special Collections Cataloging Team has a scheduled monthly meeting on the last Thursday of each month. Both the Department Head and Assistant to the Department Head attend these meetings. They are used primarily to discuss and decide Team policies and procedures, share and resolve problems, share news and announcements on the individual and department levels, and discuss items referred to us by the Department.

Minutes are recorded by the Team Leader and officially record discussions, decisions, and announcements. They are approved via e-mail by all meeting participants and are shared with the Department via the Intranet.

Team meetings may also be called as needed. Informal gatherings and electronic communication supplement our discussion/decision network. Team decisions are made by consensus, after discussion among all interested Team members.

Team Leader

  • Team Leader duties include collecting agendas, disseminating final agendas among all interested parties, preparing minutes of meetings, disseminating those minutes to all meeting attendants for approval, and disseminating the finalized meetings to all meeting attendants (those responsible for CMS duties will post the finalized minutes to the Intranet at their convenience).
  • Team Leader duties rotate among all members of the team.
  • Rotation of duties is based on the occurrence of an official team meeting (see below) existing in space and time. Once a team meeting has occurred, the duties get passed to the next member of the team in alphabetical order based on the first letter of a member's surname in the Latin alphabet. If your surname is not in the Latin alphabet, a romanized equivalent will be used.
    • Based on the above description, if a meeting gets canceled, it technically no longer exists in space and time. Thus an individual can play the role of Team Leader for more than one consecutive month.
  • It is the responsibility of the current Team Leader to notify the future Team Leader that they are in fact the next Team Leader, whether they know it or not.
  • Unofficial meetings are the responsibility of whoever is responsible for making the unofficial meeting.
  • Official meetings are those that are scheduled on a monthly basis with the Department Head and the Assistant to the Department Head in UCS calendar, or in any electronic calendar that supercedes UCS in the future.
