Bound-withs

 

Definitions and Cataloging Policy

A bound-with is an item containing two or more works bound together after publication by someone other than the publisher. An issued-with is two or more works intended by the publisher to constitute a single publication. If in doubt, consider the titles to be bound-withs.

General cataloging policy: Create a separate record in The CAT for each work in a bound-with. Create a single record in The CAT for an issued-with; this record describes all of the titles in the item and provides author and/or title access to all the titles.

After using this procedure to create the records needed, use the Bound With Wizard to create links between the records. It is very important not to create copy records for Bound with titles after the first title; only the first title should have an Item ID and Home Location. Subsequent titles should have Auto-generated call numbers and be in the same Library as the first title.

A bound-with volume may contain items that were issued together. See the example in the section An issued-with in a bound-with volume of the issued-withs documentation.

Searching for Copy

Search for exact copy for each work contained in the bound-with volume.

First Title in the Item

Create a record in The CAT for the first work. Add a 591 field that includes the titles proper for the second and all subsequent items as illustrated below. If the author of the work is known, give the author's name in direct order following the title of each work, preceded by a space-slash-space ( / ). Include edition statements if they appear on the title page. Include the imprint for each item; when multiple places of publication are given on the title page, separate them by a space-semicolon-space ( ; ).

Do not make 246s or 740s for the titles given in the 591 field, nor 700 fields for the authors. Include a complete call number with Home Location and Item ID.

Subsequent Titles

Create a separate record in The CAT for each subsequent title; these will be the Child records. Add a 591 to each record that includes only information about the first item in the volume. Include the title, author, edition statement, and imprint, as shown above.

Do not create a copy record; allow the system to Auto-generate a call number. There should be no Item ID or Home Location; the Library must be the same as the Parent Record. Write down the Title Control No. or Call Number, which will be needed when linking the records using the Bound With Wizard.

Create a record in The CAT for each bound with title, recording the Title Control Number or Call Number for later use. In general, it seems more effective to create all of the records before creating the links with the Bound With Wizard.

Copies of Titles in a Bound-with

When a copy of one of the items in a bound-with exists as a separate item in The CAT, create a single record that includes information about all copies. In the 591 field and in any notes referring to the one or the other but not all copies, include a term such as "one copy"or "second copy" or "Rare Books copy."

Miscellaneous Procedures

A single call number is assigned to a bound-with. It may be based either on the first work in the volume.

Send only the first ORF packet to CatMarking; return the additional ORF packets to the Rare Books Room with the item.

Count each title as if it were a separate item. Do not count items already online as mono uncats; these are considered to be MLP. For items added to existing records for other copies (see Copies of titles in a bound-with above), count as added copies.
