Core Records Project

Special Collections is making a concerted effort to have manuscript collections from HCLA and PSUA available. Since these are often large, boxed collections, they are preparing archival descriptions, and cataloging records are created in OCLC and Workflows from their descriptions; vertical files are generally examined for cataloging. Most records have been cataloged in the mixed materials format, but a number are in other formats, notable visual materials. Doris Malkmus has been the contact in Special Collections, while Susan Hamburger coordinates cataloging efforts.

There are a total of approximately 4000 collections in this project, however some of these collections have already been cataloged making it difficult to ascertain the number needing cataloging. Some existing records will need to be updated in the CAT and WorldCat.

After completion, remaining problem items will be fed through the Team's normal workflow.

Alice Marshall Collection

The Alice Marshall Collection is a special collection of Woman's Studies materials housed at Penn State Harrisburg. A variety of materials are included, and we will share responsibility for cataloging this collection with the Penn State Harrisburg Libraries staff. The Team was responsible for rare books, pamphlets, graphics, and ephemera. Sheet music was cataloged by the Music/AV Team. The remaining monographs were cataloged by Penn State Harrisburg catalogers.

Books are received from Harrisburg, and shelved in Annie's office for security reasons. Library is Harrisburg, Home Location is Marshall. Pencil the call number into the back of the book, with Marshall below call number; use two part barcodes. Paste large barcode on back of flyer, write main on entry on front. On yellow slip, write Marshall and call number, paste small barcode beneath, with initials and date. Put slip in packet; packets and books go back in Annie's office. Include 541 in record:

or

Gerald M. Moser Collection of Lusophone Africa, 1880-2005

Circa 400 books in Portuguese from the countries of Angola, Cape Verde, Guinea-Bissau, Mozambique, and Sao Tome and Principe (Lusophone Africa) from the collection of Gerald Moser. The location will be RAREBOOK. Each item will be cataloged separately, collocated by a class-together call number (PQ9900.M68 no.__). Books will be boxed; the boxes will be barcoded, so individual items will not get barcodes or labels. A collection-level record will be used to clarify holdings by box. A 793 will be added to all records:

793 0_ Gerald M. Moser Collection of Lusophone Africa, 1880-2005.

It may be best to sort by size before cataloging so books of similar dimensions are together when boxed; this way, "Box 1" etc. can be added to the call numbers. Each book should have a flyer with main entry.

Pennsylvania German Broadsides and Fraktur

Sixty-some items in German Fraktur, most published in Pennsylvania in the early 19th century. Anthony Tedeschi, a graduate intern, prepared workforms for the material so it can be cataloged more easily. Each item will be cataloged individually in OCLC using the manuscripts workform, and an EAD finding aid prepared for the collection. Since several collections are involved, collection level records will be created for each, and all items in each collection will be housed together in separately barcoded boxes. Each record will have an 856 linking it to the finding aid, as well as two 773 fields. The first 773 will be for the specific sub-collection, i.e., Stapleton, Allison Shelley, etc.; the second 773 will be for the main collection, as follows:

773 0 |tPennsylvania German broadsides and Fraktur

All material will have the location VAULT. The call number for the collection will appear in OCLC like this:

099 F160.G3S73 |aStapleton |aItem_

and written on the item as follows:

Rare Books
F160.G3S73
Stapleton (or other collection)
Item _
Vault

Future additions to the collection will be a part of the Team's regular workflow.

Note: University Archives also has some Fraktur material in the Gaines and Hostetler collections. Anthony's departure necessitates that this material not be included in this project, but will be handled in a similar fashion at a later date. Added items for Rare Books Fraktur will be considered part of the ongoing workflow.

Perón and his era

Of the 286 pamphlets in the invented collection, Perón and his era, 52 are cataloged as separates and classed together. We will begin cataloging the remaining pamphlets in the same way. Some will have copy; most if not all are in Spanish.

The pamphlets live in barcoded boxes, identified by a master record, so individual records will need an auto-generated item ID. They will not need any attention in Cat Marking, so no ORF will be necessary; just return them to the box in numerical order, and when a box is completed, return it to Special Collections. The location is RARE-BOOK; each record will include a 440 for the series:

[Perón and his era, a collection of pamphlets ;|vno. ___]

and a class-together call number:

F2849
.P482
no.___

The invented pamphlet number is written with the call number in the back of each pamphlet. Please write the pamphlet number on the front cover of each pamphlet, near where the invented series statement is written.
