Alice Marshall Pamphlet Collection Processing Procedures

 

Introduction

Penn State Harrisburg’s Alice Marshall Collection of Pamphlets is stored on a truck in the Security Closet. The collection has been redistributed into size-appropriate boxes, and each box assigned a number for identification. The numbers are written in pencil on the side of each box. It is suggested that Team members take possession of a box and work on each item until all items in the box are done. Pamphlets within each box should be organized in Call Number order, A-Z, from front to back or top to bottom, depending on the box orientation.

As serials are encountered, they should be referred, and when completed returned to the box and interfiled by call number.

In general, these pamphlets are processed as any other item, either as added copies in workflows, as copy records when matching copy is found in OCLC, or as original items when no matching copy is found.  They are potential candidates for OCLC enhance and BIBCO consideration.

Marking

Each pamphlet will have a plain "ID Strip" flier inserted. Fliers for smaller items in smaller boxes may need to be cut to size. Barcodes are adhered to the verso of the flier; on the recto of each flier, use a sharp pencil to neatly write the call number, along with the following information:

[Main entry]
AMC
SPEC
COLL
[LC Class number]
[Cutter]
[Cutter, as needed]
[Date]
Pamphlet Coll.
Box [number]

The same information should be written in pencil on the last page of the item, excepting only [Main entry].

Previously cataloged pamphlets were interfiled when the collection was redistributed. These items are easily identifiable by the completed flier. The Box designation will have to be changed on the flier, the item, and the public note for each previously cataloged pamphlet.

All's Well That Ends

When every pamphlet in a box has been cataloged, marked, and placed in call number order, return the box to Sue and retrieve another. She will return the box to Harrisburg.
