A. General Information

These fields contain series statements and series added entries.

 

B. Series Policy

1. Establishing Series on Original Cataloging Records

Draft Policy Statement

In creating original cataloging records, series headings shall be checked against the national authority file in either OCLC or RLIN. Established forms found shall be accepted and used; LC tracing and classification decisions should be followed, unless a local decision has been made. All series headings being used in bibliographic records should also be checked against The CAT and existing headings updated to the established form and treatment. If no series authority record is found in the national authority file, a new series heading shall be established, and a NACO series authority record shall be created (in accordance with policy on creation of NACO records). Series headings shall be established in accordance with the rules outlined in the Anglo-American Cataloguing Rules. Library of Congress Rule Interpretations (LCRI) shall also be considered when applying AACR2 rules. Pursuant to LC's current policy, all new series shall be established as traced. Newly established series shall be treated as classed separately unless it is otherwise indicated by a selector that it should be classed together.

2. Series Checking During Copy Cataloging

Policy Statement

During copy cataloging, series statements (4XX) appearing on copy should be checked against the item in hand, and all series appearing on the item should be checked against copy. The presence or absence of a series does not require a separate record; therefore, copy may be used even if series are missing on either copy or the item.

If there is a series statement on the copy (particularly CIP copy) that cannot be found on the item, delete the series statement; if the copy is a record in The CAT, refer to an Authorities Specialist. If there is a series on the item that does not appear on the copy, add a series statement (490 0); the correct form of the series heading (if appropriate) will be established during or after vendor processing.

If the series statement appears on copy and on the item (490 or 440), but in a different form, use the form that appears on the item; the correct form of the series heading (if appropriate) will be established during or after vendor processing.

If there are differences in the series statement (490 or 440) between the item in hand and a record for another location in The CAT, refer to an Authorities Specialist.

It is not necessary to check series against either The CAT or the authority files, even on less-than-full copy. This will be done during vendor processing and subsequent checking of the unmatched headings report.

C. Processing Notes

1. Series-like Phrases

Accept series-like phrases in 500 notes from copy. Add as needed.

2. Lecture Series

Accept LC's treatment of lecture series.

3. Volume Designator

It is not necessary to change "vol." to "v." in series subfield |v.

Continue to use only "v." in the call number for classed together series. WorkFlows should input a |z code before the volume designator in the call number, but it can be manually input as well. No space is necessary before the |z.

WorkFlows does not recognize all volume designators, especially those for foreign language items, so it may be best to manually input the |z in the call number in all cases. See Terms Used in Call Numbers.

4. Series Statement Appears Only on the Dust Jacket

A Series in copy taken from a dust jacket may be accepted, but should be recorded in the 4XX in square brackets. The 8XX, if the series is traced differently, should appear without brackets. The following 500 note should be present or added:

5. Paperback Series

Treat a paperback with a paperback series and a hardback issued without a series as the same edition if all other match criteria are met. Record the paperback series in the 4XX or 5XX field, according to the instructions in LCAF. Add the following 500 note:

500 Also issued without series statement.

Two paperbacks with different paperback series are treated as the same edition if all other match criteria are met. Record one series in the 4XX field, the other in a 500 note as illustrated below.

500 Also issued in series ____________.

6. Complex Series Described in 500 with 8XX

When a complex series statement is described in a 500 note instead of 490, and traced with 8XX, accept as found on copy.
