For brief list of standard changes to make to copy, see: Computer Files Quick Sheet for Enhancing Copy
Format code: com
This code can be used to qualify keyword searches or derived searches.
Example: Report / Bureau of Silly Walks
Searches in OCLC as:
fin ti report and au bureau and au silly and au walks/com
-or-
=bure,sil,w/com
This qualifier is optional. The computer file format appears in the 245 |h and the format in the fixed field will be either monograph, serial, or map. An OCLC search qualified by "com" will search both the |h and the fixed field as long as both are present. However, copy sometimes lacks the |h (this is most common with government documents cataloged by GPO), and will not be picked up if the "com" qualifier is used. To broaden your search results, try an unqualified search.
Choose the source that gives the most information in the following order of preference:
| CD-ROM | Computer disk |
|---|---|
| Title screen | Title screen |
| Disc surface* | Disk label* |
| Container | Container |
* Although theoretically the title screen is preferred, in practice you will find that most institutions use the disc surface or disk label as the chief source.
Always state the chief source in a 500 note in computer file records. This rule differs from the rules for books and serials, which mandate a note only when the chief source is not the title page.
Examples:
500 Title from title screen.
500 Title from disk label; version statement from container.
Fixed fields: Accept on copy as found.
Format: Accept on copy as found. Some electronic resources will be cataloged as form MRDF, others as SERIAL.
LAN: For textual files, rules for language code are the same as those for monographs. For programs or numerical data, LAN code should be left blank. If the copy as LAN as n/a, change n/a to [blank].
FRE: Make sure the frequency code corresponds with the 310 field. See 008/310 Frequency Codes for more information.
Copy should follow standard cataloging guidelines. If a GMD is lacking, insert one (|h[electronic resource]) following 245|a. There is no ISBD punctuation preceding 245|h. However, there will be ISBD punctuation following 245|h depending on which subfield follows it.
Use 246 to record only those variations that relate to the compute file itself.
Examples:
246 1# |iTitle on disc surface: |a
500 Title from title screen.246 1# |iTitle on container insert: |a
500 Title from disc surface.246 1# |iTitle on container spine: |a
500 Title from disc surface.
246 1# |iTitle on container: |a
500 Title from title screen.
500 Issued in container (28 cm.)
Use 7XX|t or 730/740 to provide access for varying title information on accompanying materials. Describe these variations in a 500.
Include any edition and/or version statement that clearly applies to the computer file itself.
250 Windows ed., version 2.1
250 Version 3.0
Do not include edition information that applies only to the accompanying material in the 250. For example: 2nd ed. of user's manual.
If in doubt, give edition statement in a quoted note instead:
500 "Version 2.05"--T.p. verso of user's guide.
256 Computer data
256 Computer program
256 Computer data and programs
Floppy disks:
300 2 computer disks ;|c3 1/2 in.
300 1 computer disk ;|c5 1/4 in.
300 14 computer disks ;|c3 1/2 in.-5 1/4 in.
CD-ROMs:
300 4 computer laser optical discs ;|c4 3/4 in.
300 1 computer laser optical disc ;|c4 3/4 in. +|e2 computer disks (3 1/2 in.) + 1 user's guide
300 computer laser optical discs ;|c4 3/4 in.
[ for an incomplete set -- akin to v. for monographs ]
Always record chief source in 500 note.
CD-ROM:
500 Title from disc surface.
Source of version/edition statement if it varies from chief source.
500 Title from title screen; edition statement from container.
Additional physical information not given in 300.
500 Issued in container (28 cm.)
500 User's guide has title:
Detailed description of accompanying material (do not repeat description in 300|e if described in 500)
245 Electronic commerce :|bproceedings of a conference.
300 1 computer laser optical disc ;|c4 3/4 in.
500 Accompanied by book containing abstracts of the proceedings.
If the only info in the 516 is: Computer data, Computer programs, or Computer data and programs, change field to 256. Otherwise, accept if found on copy. If there is no 516, do not add one.
Use 530 when there is a simple one-to-one correspondence. Use 580 to describe more complex relationships.
530 Also published in print.
530 Also available online.
Always check the site using the URL in the 856 field. If the link works and the site is freely available, retain the information. However, if 1) the online version is available only to subscribers, or 2) if the link doesn't work, or 3) if you get to the site and discover that the same information really isn't available there, delete both the 530 and the 856.
Use 776 |t to provide access to the title of the other format edition.
If not present on copy, add. Always include the requisite computer system and for CD-ROMs, include "CD-ROM drive." The bare minimum would look like this:
538 System requirements: IBM-PC or compatible; CD-ROM drive.
This is a repeatable field, so you can record system requirements for different platforms in separate notes.
538 System requirements for Windows: IBM-PC or compatible (386- or 486-based (486 recommended)); 4 MB application RAM; Windows 3.1 or greater; 4 MB hard-disk space; 1.44 MB 3.5-in. floppy-disk drive; CD-ROM drive (double speed or higher recommended).
538 System requirements for Macintosh: Macintosh computer with 68020 (Macintosh II series) or greater processor; 2 MB application RAM; MacOS 7.0 or greater; 4 MB hard-disk space; FDHD floppy-disk drive; CD-ROM drive (double speed or higher recommended).
538 System requirements for UNIX (on a Sun computer): Sun SPARCstation workstation; SunOS version 4.1.3 or later, Solaris 2.3, 2.4, or 2.5; Open Windows (3.0 or later) or the Motif window manager (version 1.2.3 or later); 8 MB of available hard-disk space for Acrobat Reader; 32-MB machine; CD-ROM drive.
538 System requirements for UNIX (on a Hewlett-Packard computer): HP Series 9000 workstation (model 700 or higher); HP-UX 9.0.3 or later; HP VUE desktop environment; 6 MB of available hard-disk space for Acrobat Reader; 32- MB machine; CD-ROM drive.
Accept if found on copy. If not present in copy, do not add.
Accept if found on copy. If not present in copy, do not add.
Use 580 to describe complex relationships to other titles.
580 CD-ROM edition of: Microfilm abstracts; Dissertation abstracts (all parts); and Dissertation abstracts international.
Accept LC subjects with or without the following form subdivisions
|vDatabases
|vComputer programs
|vJuvenile software

However, do not accept:
|vSoftware
Change to: |vComputer programs
Delete headings like: 6XX IBM PC
Delete this field from copy.
