Replacement Page Process

Step 1:  Identification of missing pages:

    · Lending Services (Circulation) identifies books with missing or vandalized pages that need to be replaced.  These books are taken to the Digitization and Preservation Departments’ Collections Care unit. 

    · Subject and branch library staff or patrons identify books or periodicals with missing pages. 

Step 2:  Interlibrary Loan:

    · Collections Care and Bindery staff initiates the requests to ILL for Lending Services.

    · Branch and subject libraries initiate the request to ILL for their replacement pages.  These books are retained in their location until the ILL request is filled.

    · Interlibrary Loan submits the requests for all library locations.  Once orders are filled, ILL forwards all replacement page requests and photocopied pages to the Collections Care unit in the Preservation Department.

    · Collection Care notifies branch and subject libraries that the requested copies are in and for them to send the mutilated volume to Collections Care.

Step 3:  Making the replacement page:

    · Collections Care receives the photocopied replacement pages from ILL.  The filled replacement page request is reviewed for completeness and forwarded on for scanning.  Digital Preservation staff scans the photocopy and performs image editing, including removing gutter shadow, pencil notations and any other markings which may appear like ownership markings.  Digital Preservation staff then registers the pages front to back, prints and forwards the completed pages to the Collections Care unit.                                                                          

Step 4:  Tipping-in:

    · Scanned copies are reviewed for quality and completeness.

    · Collections Care staff match the scanned copies with the mutilated volume.

    · Collections Care staff trim the scanned pages to fit the textblock and using adhesive tips-in the page(s).  Books needing 6-8+ pages replaced are forwarded for commercial rebinding.

Step 5:  Back to the shelf:

    · Once books return from in-house or vended treatment, Collections Care returns the restored book to Lending Services for re-shelving.  Branch library books are returned to each branch location.
