CQI teams seek to streamline and improve processes

This article is the second in a series highlighting the work of the Continuous Quality
Improvement Teams within the University Libraries.


Government Documents CQI Team
This team reviewed and documented the current receiving, cataloging and processing
workflow(s) for government information and material that the Libraries acquire (i.e. Federal,
Pennsylvania, Canadian, European Union, United Nations). Some of the team’s
recommendations to improve efficiencies and streamline the processes and avoid duplication of
effort have already been implemented.


IT Project Portfolio Management
The joint Information Technology Services' (ITS) and University Libraries’ IT portfolio
management process is an outcome of the shared strategic goal to position IT service
management practices at the core of IT operations within the University Libraries. This process
assists in tracking and planning IT projects, streamlining intake of new, modification, and
retirement service requests, building and continually improving a system for data tracking of
service requests and changes and organizing work by alignment to strategic goals or tactical
action items, developing and continually improving IT service request process, and engaging in
meaningful communication within IT service teams and with stakeholders.


MTSS Videos CQI Team
The goal of this team was to facilitate the addition of films, videos, and DVDs owned by Media
Technology and Support Services to the University Libraries’ catalog, making it easier for users
to borrow materials from the extensive collection. As of January 2009, more than 23,000 films,
videos, and DVDs were loaded into the catalog, and users are now able to see the availability of
these titles, as well as due dates for titles in use. As of October 2009, the entire 16mm collection
was also loaded into the catalog.
