Responsibilities of Assistant/Associate Dean and/or Dean

 

Guidelines for Confidentiality

Confidentiality of the search and selection process is essential to the positive outcome of the process. Toward that end, the following guidelines apply:

  • All discussions and information available to the Search Committee shall be 100% confidential.
  • All contacts with the media or questions by others shall be referred to the Search Committee Chair (or Co-Chairs).
  • All contacts with nominators and references shall be made by or cleared through the Chair (or Co-Chairs).


The Libraries Human Resources Office maintains all original search materials. Search Committee members should send any original search materials, to include their candidate assessment forms to the Libraries Human Resources Office, 511 Paterno Library, University Park, PA 16802. Search Committee members may shred candidate application materials at the end of the search. If you do not have a shredder, please send your copies to the searches LHR support person, indicating “SHRED”. 


Search Committee's Responsibilities 

  • Maintains 100% confidentiality of the search; both during the process and after the position is filled.
  • Approves criteria, based on the requirements of the position, used to evaluate all candidates.
  • Aggressively seeks and nominates candidates for the position.
  • Evaluates vita and makes recommendations.
  • Establishes a short list of 2 to 5 candidates (unranked) to be forwarded to Assistant/Associate Dean, indicating strengths and weaknesses based on vita and references.
  • Participates in interview process.
  • Provides a means for collecting and summarizing staff input on each candidate interviewed.
  • Provides the Assistant/Associate Dean with an unranked list of the candidates showing strengths and weaknesses based on comments received from the staff.
  • Makes a recommendation upon invitation from the Assistant/Associate Dean.


Chair's Responsibilities

  • Handles all correspondence, including any contacts with media or others outside of the search committee.
  • Maintains 100% confidentiality of the search.
  • Establishes a schedule of meeting dates for the committee.
  • Oversees contact with candidates, collect reference materials, and furnish information to candidates as appropriate or as requested.
  • Prepares the final Committee report and recommendations to be forwarded to the Assistant/Associate Dean and or Dean.

  
Responsibilities of Assistant/Associate Dean and/or Dean 

  • Contacts the short list of candidates and invite them for an interview session.
  • Contacts additional reference sources to further evaluate candidates.
  • Selects the final candidate and makes the recommendation to the Dean.
