A part-time, non-student employee that has completed two years of continuous University service, working at least 750 hours each year (approximately 20 hours/week), is eligible to accumulate earned time and paid holidays.
Earned Time
- Earned time can be used by an eligible employee to account for work time missed because of illness, vacation, etc.
- Eligible employees “earn time” for hours they are PAID during the month. This means that the hours an employee is paid for holiday time or earned time off count toward the accumulation of earned time for that month and should be recorded on the earned time card.
- However, if the employee is paid time and one-half because of working on a holiday, just the hours that were actually worked on that day (not the overtime hours) should be counted toward the monthly accumulation of earned time on the earned time card.
- Employees will accrue earned time on the basis of accumulating 8 hours for each 168 hours paid. Earned time may be accumulated up to a maximum of 96 hours.
- Employees cannot use earned time BEFORE they earn it.
- In Labman, when the employee uses accumulated earned time hours, enter the number of hours to be paid on the appropriate day and enter “earned time used” in the comments section.
- When an eligible employee terminates employment from Penn State, the employee shall be paid for the balance of unused earned time hours. Please contact Libraries Human Resources to inquire how to handle the earned time pay off.
- When an eligible employee accepts regular employment with no break in service, he/she may transfer the earned time balance to vacation accumulation.
Holidays
- Eligible employees will receive their regular holiday pay for hours they NORMALLY WOULD WORK on a day that is a University holiday when the Library is closed.
- When the library is open on a University holiday, eligible employees who are required to work will be paid at the rate of time and one-half the hourly rate for hours worked on the holiday. Be sure to include the overtime hours in Labman as well as the actual hours worked. The overtime applies whether or not the employee is regularly scheduled to work the day of the week on which the holiday falls.
- If the employee does not work on the holiday and normally would work on that day of the week, he/she will be paid for the hours that would have normally been worked.
- In Labman, when the employee is to be paid for holiday time, the number of hours to be paid should be entered on the holiday. A note should then be put in the comments section indicating “holiday pay.”
- For those eligible employees that work evening/weekend schedules during a time the Library is only open Monday through Friday until 5 p.m., they can use their earned time balance to be paid for the hours they normally would have worked. The other options are to not be paid for the hours missed or possibly adjust their work schedules during this time.
