1. Maintain schedules:
- All work and leave time will be recorded on the BIG team calendar.
- Notification of schedule changes, particularly for vacation, should be made in advance, whenever possible.
- Members should call a team member to notify them of unplanned absence by 8:30 a.m.
- Team may ask to review any member’s time card.
- If leaving early for the day, e-mail team members, post on white board, write on calendar, and inform Secretarial Services.
2. Communications ground rules:
- Huddle as needed; meet regularly
- All meeting communications should be carried with civility.
- During meetings or huddles only one person may speak at a time.
- Decision making will be accomplished by building consensus. Topics should be presented as issues, not answers.
- Two-thirds of team members presence is required to make decisions (unless circumstances prevent, e.g., same day decisions required).
- Socializing during work times should be minimized.
- Group representatives will report verbally or by e-mail to the team within a 5 work days. Formal group reports may precede or follow.
- Discussions of issues with individual team members should be discussed only in the team environment or with the Department Head. They should not be discussed with others outside the team.
3. Foster and model good team behaviors:
- Take pride in the good work you do as a team, both individually and collectively.
- Respect and abide by good communications listed above.
- Avoid bringing your personal woes to the job – separate work life from home life as much as possible especially during work time. Obviously some personal circumstances do affect work but demonstrate discretion.
- Respect each other’s skill differences and areas of expertise. Diversity is good.
- Eliminate controlling behaviors.
4. Administrator of the month (AOM) will be designated by alphabetical order (last names), and abide by the AOM responsibilities. [Need web link.here]
5. Continually address workloads and work-related problems:
- Periodically review team task list.
- Seek assistance from team member(s) when you cannot resolve a problem in a timely manner.
- Work on your desk at the end of the work day, which has not been started, should be returned to its source at end of each day. Work left on desk that has been started, but not completed, should be prominently displayed.
- If unable to complete task(s), notify members within a reasonable timeframe.
6. Course guidelines:
- Eight (8) hours of additional training per semester (except for courses that directly address job performance).
- Discuss first with team. If team agrees, follow LHR’s guidelines for registering.
- For in-house courses, no more than 3 members attend the same session, except when unavoidable, e.g., State of the Libraries address. Team will discuss options.
7. Broken Ground Rules
- Should be addressed as quickly as possible
- If cannot address, should be addressed with Department Head, as soon as possible.
