  1. General Information
  2. Cataloging staff catalog all Penn State doctoral, masters, and University Scholars theses, as well as some bachelor theses and selected papers and reports.

    We receive doctoral and masters theses three times a year, and the Schreyer's Honors theses come in throughout the year. The volumes are bound and matched with the appropriate microfiche or microfilm before they are cataloged. Papers, reports and bachelor theses (other than Schreyer's Honors) come in infrequently. They usually come in through the regular monograph book workflow.

  3. Thesis Authority Work
  4. Thesis authority work consists of two steps: (1) determining the surname (2) determining and noting the location.

    1. Determine the surname from the title page
    2. If the name is compound and you are not certain which name is the surname, look up the author in the Pennsylvania State University Commencement Program under the degree granted. The alphabetical position of the name in the program will determine which part, or parts, of the name is the surname. This should agree with the surname printed on the spine. If it does not agree, the thesis must be returned to Catmarking for correction.

      1. Ph.D. dissertations (including Hershey)
        Doctoral dissertations are microfilmed. The film is retained in CatMarking until after the record is input; the name on the film and the microfilm numbers are written on the thesis slip by CatMarking.

      2. Master's theses (including Hershey)
        Master's theses are preserved on microfiche. If the author's name on the microfiche label is correct, CatMarking will note the number of fiches on the thesis slip and send the fiches to Cataloging.
        3 fiches
      Catalog the thesis and the microfiche, then put them in an envelope and send them to News and Microforms.

    3. Verify subject field (699) and location
    4. The location is written on the thesis slip and is determined from the list of subject fields at the end of this routine.

      Dissertations, masters, bachelors, papers, and reports
      On the title page below the title, there will be the phrase, A. Thesis in. or A paper in. followed by the name of a Penn State program. Consult the list of subject fields at the end of this routine to determine the correct shelving location for the program. (For example, Aerospace engineering is shelved in the Engineering Library).

      Check the spine to make certain the correct location is on it (there will be nothing for those going to Paterno stacks area). Write the location code on the thesis slip in the upper right hand corner.

      If the program name is not on the list of subject fields, call the Theses Office and ask if it is a new program, or if it is an Interdisciplinary Doctoral Majors program. (Instruction on how to process Interdisciplinary Doctoral Majors is in the 245 section of this routine.)

    5. Search the author in the database
    6. The cataloger responsible for inputting the thesis also checks for other works by the author in Workflows. Sometimes the thesis has already been cataloged for another location. If so, look the record over to be sure it is correct and then add your holding to that record. Sometimes an author uses the same thesis for both his Scholars and his Masters. When this is true, the pagination is often different by a few pages because the Scholars copy includes a vita. In such a case add a 500 note:
      500 Schreyers Honors copy includes vitae (99 leaves).

  5. Hershey Theses
  6. The hard copy theses for Hershey are not retained at this location or recorded in Workflows. We use the hard copy to create the record in Workflows, but we retain only the microfilm or microfiches. Therefore, you only have a call number for the microfilm or microfiche copy. Upon completing Hershey theses, hand carry them to Catmarking.

  7. Property Settings
  8. Set Properties values: Property Settings

    • The format will be THESIS

    • Set the Library according to the type of thesis you are cataloging (e.g., UP-PAT, UP-ENGIN, UP-EMS, etc.)

    • The Class Scheme is ASIS (i.e., As Is)

    • Type will be either Thesis-B, Thesis-M, or Thesis-D

    • Set the Home Location according to the place in the library where the thesis will be shelved (e.g., PATERNO-2, STACKS-EG, THESIS-GV, THESIS-BD)

    • Make sure the Permanent and Circulate boxes are checked

  9. Field by Field Instructions
    1. Fixed Fields
    2. Except for the Date, the Fixed Fields have already been set by the system. In the Date1 field, insert the date that is on the title page.

    3. 040 Cataloging Source
    4. For any record created (i.e., typed into the AddTitle template) and for all original cataloging, add "PSt" in 040 |a and |c.

    5. 100 Personal Name
    6. In the |a transcribe the author's name exactly as it is on the title page only putting author's last name first, first name and middle initial. Add birth date if available. These are most commonly available for Doctoral theses in the vita in the back of the book. Do not transcribe titles given to people (e.g., Jr., Sr., II, III)

      The indicators vary depending on the type of name (see the X00 chapter of Bibliographic Processing Cataloging Rules or OCLC Bibliographic Formats & Standards 1XX).

      100  -  MAIN ENTRY--PERSONAL NAME (NR)
      A personal name used as a main entry in a bibliographic record.

      Indicators

      • First - Type of personal name entry element
        • 0 - Forename
          The name is a forename or is a name consisting of words, initials, letters, etc., that are formatted in direct order.
        • 1 - Surname
          The name is a single or multiple surname formatted in inverted order or a single name without forenames that is known to be a surname.
        • 3 - Family name
          The name represents a family, clan, dynasty, house, or other such group and may be formatted in direct or inverted order.
      • Second - Undefined
        • # - Undefined

    7. Title Statement
    8. Transcribe from the title page. If you are unsure about the capitalization of words in the title, consult the thesis abstract, the introduction or other pages. Some thesis titles contain names that are underlined on the title page; ignore the underline.

      1. Collective titles
      2. A type of collective title sometimes encountered in thesis processing is a collective title followed by three distinctive titles. Transcribe as follows in the 245; do not input 246s or 700s, but a 505 note will be added.

        245 10 Three studies in literature :|bMilton's gardens and warrior angels ; Shelley's Arethusa ; The asceticism of Wordsworth.
        505 0# Milton's gardens and warrior angels - Shelley's Arethusa - asceticism of Wordsworth.

      3. Special Individualized Interdisciplinary Doctoral Majors program
      4. Occasionally, the cataloger will need to add A thesis in ... to the 245|b. These titles are for the Special Individualized Interdisciplinary Doctoral Majors program. Each has a distinctive subject instead of a standard subject; for this reason, the subject of the thesis is added to the |b to provide access through keyword. The distinctive subject is not input as a 699. Interdisciplinary Doctoral Majors is input instead. Call the Thesis Office at 865-5448 if you have a question whether or not it is an Interdisciplinary Doctoral Majors thesis. It will not be listed as one of the subjects that are at the end of this routine if it is an Interdisciplinary Doctoral Majors.

    9. 246 Title Added Entry (formerly 740)
    10. We add 246s under the following circumstances.

      1. Portion of title proper
      2. Because thesis titles often begin with generic phrases, title added entries (formerly 740s but now 246s) are often made for portions of the title. These titles will usually begin with one of the following phrases (or something similar):

        A study of ...
        An analysis of ...
        The effects of ...
        An examination of ...
        The influence of ...
        An investigation of ...
        The relationship of ...
        A survey of ...
        A ________ study of ... (e.g., A comparative study of ...)

        Add a 246 with indicators 30 for the portion of the 245|a that follows the generic phrase. The partial title can NOT begin with an article (a, an, or the) because there are no nonfiling indicators in the 246 field.

      3. Added title page in English
      4. If the thesis is in another language and there are two title pages, one in a foreign language and the second in English:

        • Change the language field in fixed field area.
        • Record the 245 in the foreign language.
        • Add a 246 with indicators 15 for the added title page title

        For example:

      5. Papers and theses with two titles
      6. We occasionally receive papers or theses that have two titles by the same author in the same volume. In this case, transcribe both titles in the 245 with [and] between them, and record the second title in a 246 field with 1st indicator 3 and 2nd indicator [blank].

      7. Corrections and spelled out numbers
      8. We add a 246 with indicators 3 [blank] to a thesis record when there is an error in the first five words of the 245|a (it's not necessary if the error is in the |b). Input [sic] in square brackets following the error and add a 246 for the corrected 245|a.

        We also make a title added entry when there is a number in the first five words of the 245|a. However if a number is part of a formula don't spell it out.

      9. 246 list with indicators
      10. The indicators in the 246 are extremely important, since they control whether or not a note shows on the patron screen as well as access to the record. Below is a summarized list of the 246s you will encounter in thesis processing, with the correct indicators. See also the complete 246 Cheat Sheet.

        246 3# Second title (when there are two)
        246 3# Corrected title
        246 3# Spelled out number in title

    11. 260 Imprint
    12. The 260 field for theses contains only a subfield |c. Input the date from the title page.
      260              |c1991.

      If the date on the title page is January [year], use that year in the 260|c; however, the date in the call number and on the spine may be the previous year.

    13. 300 Physical Description
    14. Record only the main numbering sequences of the thesis in the 300|a, omitting any preliminary paging. Use the term leaves instead of pages, since the text is printed on one side only.

      300        196 leaves

      If there are multiple pagings in the thesis, use 1 v. (various leaves).

      300        1 v. (various leaves)

      Note: 1 v. (various leaves) is acceptable for theses that have numbered leaves and then some unnumbered leaves.

      If a theses has no numbering on the leaves input 1 v. (unpaged).

      If there are illustrations, add |bill to the 300 field. Indicate col. ill or ill. (some col.) when appropriate. Sometimes you need to add maps or music when they are in the text of the book.

      300    97 leaves :|bill. (some col.), map.

      Do not input a subfield |c.

      Frequently there is a subfield |e used mostly when there is a CD-ROM in the book.

      300    86 leaves :|bill. +|e1 CD-ROM (4 ¾ in.)

    15. 500 General Note
    16. In the event that the title on the label of the accompanying CD-ROM, DVD-ROM, or computer disk varies significantly from the title of the book, make a 500 note in the form below and add a 740 for the analytical title entry.

      The book entitled:

      Literacy for the 21st century : teaching reading and writing in pre-kindergarten through grade 4

      has an accompanying CD-ROM with the title:

      Primary grades literacy: a K-3 integrated unit on insects

      It is also used for appendices that are not included in the main numbering sequence, and either follows the text or are inserted in a pocket.

      Refer to original cataloging if you need help in composing a note. If the accompanying material is in non-book form (disk, cassette, video cassette, etc.) ask a non-book format specialist to compose the note in the proper form. Computer disks must be copied by the computer files specialist before the thesis record is input.

    17. 502 Dissertation
    18. This note consists of the word Thesis, followed by the abbreviation for the type of degree in parentheses (see list below), a double dash and the words Pennsylvania State University comma, the year.

      502    Thesis (Ph.D.)--Pennsylvania State University, 2004.

      Theses up to and including 1953 will have Pennsylvania State College instead, which can be abbreviated in the 502 as PSC.

      1. Papers, reports, and bachelors theses
      2. In addition to theses, papers (including M.B.A. papers), reports, and bachelors theses other than Schreyers Honors theses are sometimes cataloged. Use the word Paper or Report in the 502 note for papers or reports; use Thesis with the appropriate baccalaureate abbreviation for bachelors theses.

        502    Paper (M.Eng.)--Pennsylvania State University, year.
        502    Report (B.S.)--Pennsylvania State University, year.
        502    Thesis (B.A.)--Pennsylvania State University, year.

      3. Theses for CCL Campuses
      4. For theses from Penn State Harrisburg, Great Valley (formerly King of Prussia) and Behrend, add the name of the campus as shown in the examples below. The location will still be University Park, unless you are informed otherwise.

        502    Thesis (M.S.)--Pennsylvania State University, Behrend College, date.
        502    Thesis (B.A.)--Pennsylvania State University, Great Valley, date.
        502    Thesis (M.Eng.)--Pennsylvania State University, Capital College, date.

        Theses for Hershey do not need a qualifier after Pennsylvania State University, just the date.

      6. Transcribe the degree abbreviation exactly as given below in regards to capitalization and spacing.

    20. All theses with microfilm and microfiches (doctoral, or masters) require a 533 field.

      2. For doctoral theses, including Hershey, use the 6 or 7 digit UMI number from the thesis slip to create the following 533 field.

        Using the Appropriate Macro it expands:

        533    Microfilm (positive)|e1 reel 35 mm. |c(University Microfilms [and the cataloger adds] 91-56621)

      3. Masters theses
      4. For masters thesis type in or run the appropriate macro as illustrated below:

        533    Library holds archival microfiches negative and service copy |e2 fiches|cMicrographs International, 2003.

        The thesis slip tells how many fiches are available and if it is other than 2, change the number. If there is only one fiche the "s" must be removed from the word fiches.

    21. 699 Subject
    22. The subject of a thesis is the program in which the degree has been granted. The program almost always follows the phrase, A thesis in ...

      Transcribe the program/subject as it appears on the title page, capitalizing only the first word.

    23. 740 Title Added Entry
    24. This is used when there is a different form of the title on the text than is on the CD-ROM. See 500 field.

    25. Local Call Number
    26. The thesis call number is free format. It consists of the word Thesis, the date, the degree of the thesis, and the first five letters of the authors last name, comma, and initials.
      Thesis 2003dAnder,MN

      This call number can be generated by placing the cursor on the name and typing alt t. The system will then read the authors name, then go down and read the date in the 260 and then on down and read the degree in the 502. The system then flips over to the vol/copy screen and fills in the call number. If there are diacritics in the first five letters of the last name or the first letter of the first name or middle name the call number must be put on the vol/copy screen manually omitting the diacritics. If there are hyphens or apostrophes in the 100 field, the system ignores them and makes them all one word. Capitalize the first letter of the last name and the initials, plus any other applicable capitalizations (MacDonald, for example would be MacDo).

        By using the designated macro the system will generate Microfilm Cd and the number of the microfilm is all that needs to be added. The library for microfilm is UP-Annex, .For item id use the barcode that is on the thesis slip. Microfilm are circulating. The type is Microform and the home location is Cato Park.

      3. Microfiche (Masters theses)
      4. For masters theses, the call number for the micro is the same as the call number for the thesis and will be automatically on the vol/copy screen.

        • Microfiche do not have an assigned item number, therefore, a system generated barcode is assigned.
        • Microfiche are circulating.

      5. Added locations
      6. We add second copies of theses only if requested by the department granting the degree and only if the added copy is for a second location. For example, theses in acoustics are shelved in Paterno 2; second copies may be shelved by request in the Engineering Library.

    27. Sets
    28. Sometimes theses are written in more than one physical book and these are referred to as parts. If the paging for all volumes is sequential, add the number of pages in parentheses.

      At the vol/copy screen an entry is made for each part:

  10. After Input is Completed
    1. Subject Referrals
    2. If a thesis title contains a personal name, a title of another specific work (usually underlined on the title page), or deals with the state of Pennsylvania, annotate the thesis slip and place on referral shelf. Additional subjects (6XX fields) will be entered into the record by Original Catalogers.

      Examples of the types of titles to be referred:

      T.p.: To write like a woman : gender inflection in the prose of Victoria Ocampo
      [Referred because of the reference to Victoria Ocampo]

      T.p.: A comparative study between The Lord of the Rings and Das Nibelungenlied
      [Referred because of the titles "The Lord of the Rings" and "Das Nibelungenlied"]

      T.p.: The kitchen cabinet industry in Pennsylvania in 1987
      [Referred because of the reference to the state of Pennsylvania]

    3. Statistics
    4. Use the Theses Statistics Sheet (Excel form to be printed out monthly). Record your statistics in the appropriate columns.

      Statistics for theses are marked under Original column.

      • Each new Theses/Original statistic should get a corresponding Theses/New Title statistic.
      • For each added volume, take one Theses/Added Vol. statistic.
      • For each microfiche/microfilm that already has the paper thesis cataloged, take one MicroMono/Added Location statistic.
      • For each Hershey theses, take one MicroMono/Original statistic and one MicroMono/New Title statistic.
