General/Getting Started
- Retrieving the dissertation: On the list of dissertations, electronic dissertations will be highlighted; note the author's name.
Go the the eTD page at: http://etda.libraries.psu.edu
Click on "Browse the ETDs by Author or Department." and find the author's name in the list. Click on the name to retrieve the document information page.
At the bottom of the page is a section labelled "Files"; click on the filename with the extension .pdf to see the dissertation itself. The filename is usually (but not always)
"etd.pdf."
- Chief source of information: Use the thesis title page in the .pdf file as the chief source.
Bibliographic Record
Properties
- Use the THESIS format template [the books ("MARC") template will also work].
- Add a "Computer Files" 006 field.
- To set defaults for the Vol/Copy tab, set the following properties:
library: ONLINE
class scheme: ASIS
type: THESIS-D
home location: ONLINE
circulate: [uncheck]
Fixed Fields
- The fixed fields should be filled in as follows:

- Rec_Type: Change to t [for all eTDs]
- Desc: Change to a [for all eTDs]
- Entrd: System supplied; do not change.
- Dat_Tp, Date1, Date2: Set as usual.
- Cty: Change to pau [for all eTDs]
- Lang: Change if not in English.
- FileType: Change to d [for all eTDs]

Field-by-Field Guidelines
- 040: Include the following 040 field:
040 PSt|cPSt
- 100: Take the name of the author from the title page; check the vita and add a birth date if available.
- 245: Take the title from the title page.
Include the GMD |h[electronic resource] immediately following subfield |a and before the punctuation that precedes the following subfield (space-colon for |b, space-slash for |c). Include a statement of responsibility taken from the title page.
- 246: If the title on the document information page is different, make a 246
"|iTitle from document information page:|a[title]". Make 246s for portions of the title as usual.
- 260|c: Transcribe the year from the title page. Ignore the "date of defense" on the document information page.
- 300: Do not include field 300. The number of pages in the .pdf file can be included in the note on the file characteristics.
- 538: Make the following note:

Fill in the total number of pages in the .pdf file. This number appears at the bottom of the window:
- 500: Make the following note:
500 Mode of access: World Wide Web.
- 502: Make the thesis note as usual:
502 Thesis ([degree])--Pennsylvania State University, [date].
- 506: If Availability on the document information page is anything other than "unrestricted," quote the statement in field 506.
- 6XX: Refer to add subject headings for names and for Pennsylvania subjects as usual. Give the thesis field in field 699 as usual (the name of the field will be found on the title page). In addition, give the "keywords" that appear on the document information page in field 653; input all the keywords in a single 653 field, adding semicolons after each word or phrase. You can copy and paste from the document information page; you don't need to change capitalization, but you do need to add semicolons and delete the carriage returns.
- 856: Give the URL for the thesis in field 856:

The "etd-number" will be found at the top of the document information page,
e.g., etd-070799-122355. You can copy the entire URL from the "Location:" box at the top of the browser window and paste it into your record.
Volume/Copy
- Call number: Use the usual Thesis call number.
- Class Scheme: Use the Class Scheme ASIS.
- Library: Use the Library ONLINE.
- Type: Use the ItemType THESIS-D.
- Home Location: Use the Home Location ONLINE.
- Item ID: Use the Item ID AUTO.
- Circulate: Should be unchecked.
Adding the Microform Holdings
- 533: Add the usual 533 field for the microform copy.
- Volume/Copy:
Use the usual thesis microform call number.
Use the Library UP-MICRO, unless the microform copy is going to a different library.
Use the ItemType MICROFORM.
Use the Home Location MICROS-PA for the Microforms library; use the appropriate location for other libraries.
Use the Item ID AUTO.
