- Books from PSU Archives to be processed are brought from Special
Collections and placed in our Security Closet. Retrieve materials
as available. All material should be kept secure overnight or
during extended absences from your desk.
- Search for copy in The CAT using Workflows; if matching copy
is found, add as another copy or added location/volume, as needed.
- When no matching copy is found in The CAT, search for copy
in OCLC. Search NUC fiche for pre-1956 titles or other resources if desired. When no matching copy or useful near copy is found, original cataloging is required; place on referral shelf with any useful paperwork.
- Add a record to Workflows, using either SmartPort or the
Add Title Wizard.
- Edit the record as required according to current local standards.
- Check the Flyer for Special Instructions, especially for Collection
notes and access points that need to be added. For example,
add 773 or 541 notes as directed by Collection.
- Check the book for distinguishing characteristics; add 590
notes, as needed.
- Select the Library UPSPECCOL.
- Check the Receiving Flyer for the correct Location, and make sure the
Home Location is set to this code. The Locations list for PSU
Archives begins here.
- Make sure the Circulation checkmark is removed; these materials
do not circulate.
- When the location is unclear,
ask PSU Archives Specialists.
- When the record is complete, produce cards as described here
- Write the Call Number in pencil on the last blank page of
the book in the upper left corner. If space isn't available
on the last page or is too dark to write on, find another suitable
location near the end of the book (e.g. another location on
the last page, p. 3 of cover, page preceding the last page,
etc.)

- Use two-part barcodes for PSU Archives. Adhere the main barcode to the verso of the collection flyer; the remaining strip may be discarded.
- Initial and date the bottom of the receiving flyer.
- Write the main entry on the top of the PSU Archives receiving
flier.
- Completed books should be placed on the PSU Archives completed
shelf in the Security Closet.
- Trucks of materials will be taken to Physical Processing as needed; Physical Processing will print labels and return the truck with books and labels to the Team, who will wheel the truck to Special Collections and alert the PSU Archives Specialist.
- Complete labels will be matched to the books by PSU Archives
specialists, and the book shelved in its home location.
