- Books to be processed are brought from Special Collections and placed in our Security Closet. Retrieve materials as available. All material should be kept secure overnight or during extended absences from your desk.
- Search for copy in The CAT using Workflows; if matching copy is found, add as another copy or added location/volume, as needed.
- When no copy is found in The CAT, search for copy in OCLC; if no matching copy is found, search RLIN. Search NUC fiche for pre-1956 titles if desired. When no matching copy or useful near copy is found, original cataloging is required.
- Add a record to Workflows, using either SmartPort or Add New Titles Wizard.
- Edit the record as required according to current local standards.
- Check the ORF for Special Instructions, especially for Collection notes and access points that need to be added. For example, add 773 or 541 notes as directed by Collection.
- Check the book for distinguishing characteristics; add 590 notes, as needed.
- Select the Library UPSPECCOL.
- Check the ORF for the correct Location, and make sure the Home Location is set to this code. Location list for Rare Books & Manuscripts starts here.
- Make sure the Circulation checkmark is removed; these materials do not circulate.
- Some items will not have an ORF; if the location is unclear, ask Rare Books specialists.
- In the PUBLIC field of the Extended Info section, add any special locations within a collection (e.g. author's last name in the Author collection; "paperback" for non-trade paperbacks in the Science Fiction collection, etc.) or any information requested that would be appropriate here rather than in the bib record.
- Write the Call Number in pencil on the last blank page of the book in the upper left corner. If space isn't available on the last page or is too dark to write on, find another suitable location near the end of the book (e.g. another location on the last page, p. 3 of cover, page preceding the last page, etc.)

[Collection, as needed]- Write the Call Number on the ORF; make sure the correct Home Location is written at the head of the Call Number. When no ORF has been prepared, substitute a Yellow Slip. All ORFs should be in a packet to facilitate handling.

- Use three-part barcodes for Rare Materials. When we run out of them, start using two-part barcodes. Adhere the small strip to the ORF or Yellow Slip, and paper clip the remainder to the back of the ORF.
- Initial and date the ORF.
- Write the main entry on the Rare Books flier (thin card stock stamped "Rare Books Room" or "Rare Books & Manuscripts).
- Write the main entry on the packet.
- Completed books should be placed on the Rare Books completed shelf in the Security Closet. Oversized or notably expensive books may be returned directly to Rare Books specialists in Special Collections. Packets with ORFs are placed in the Rare Books packet box.
- Books will be picked up from the closet periodically by Rare Books specialists. They will be placed in a holding area until labels are printed. In the holding area, they are shelved in main entry order.
- When a box of packets becomes full, it is given to CatMarking for labels to be printed. (Currently, Rare Books packets may be given to Alice Markle.)
- Complete labels will be matched to the books by Rare Books specialists, and the book shelved in its home location.
