Preference Menu Options

Edit Insert Configuration SmartPort Settings Toolbar Display ... Modify ... Save as ... Remove ... Miscellaneous settings

Below you will find information about some of the available Preference settings in WorkFlows. A number of settings are standard for Cataloging while others are optional. This will be indicated below.

  1. Edit Insert (optional)
  2. The first option in the WorkFlows Preference menu is Edit Insert, which can be toggled on or off by clicking on it. It will have a checkmark next to it when turned on.

    When Edit Insert is in effect, information entered into any field, search box, etc., will not overwrite any existing information or data. There is no need to press the Insert key to switch between the Insert and Overwrite modes. For example, when working in a bibliographic record, every time you tab to a different field to enter or edit data you need to press the Insert key if you don't want to overwrite information already present. Having Edit Insert turned on makes this unnecessary. The Insert mode will always be in effect.

  3. Configuration
  4. The second option in the WorkFlows Preference menu allows you to change Configuration settings.

    • Host Information (standard setting)

      The IP address appears at the top of the Configuration window. When accessing the Production server, it should be workflows.libraries.psu.edu.

    • Printer

      Unless you have a printer connected to your computer, the Receipt printer available box should be blank.

    • Scanner

      If you have a barcode scanner connected to your computer, choose the Barcode option. Otherwise, choose NONE.

    • Station (standard setting for Catalogers)

      Choose between a Font Edit or Display option. Cataloging personnel, and anyone else who catalogs or who may need to edit or input diacritics in a bibliographic record, need to choose the Edit option. They also need to choose the corresponding Name PCGUI-EDIT.

      People who do not need to edit or input diacritics in a bibliographic record may leave the Font setting as Display with the corresponding Name as PCGUI-DISP.

      *Note: If you have selected the Edit option and are still not seeing diacritics display correctly after restarting WorkFlows, you may need to update or install the WorkFlows font files. To do this:

      • Make sure WorkFlows is closed.
      • In Windows Explorer, your file management program, Check your C:\WINDOWS\Fonts folder for the files windisp.fon (WSGUI Display) and winedit.fon (WSGUI Edit). If they are present, delete them.
      • Go to the drive mapped for WorkFlows Production (probably M: for Cataloging personnel). It should be called prog on 'roo\sirsi'.
      • Click on the Workflows folder under prog on 'roo\sirsi'.
      • Copy the font files windisp.fon and winedit.fon.
      • Paste the font files into your C:\WINDOWS\Fonts folder.
      • Open WorkFlows and test diacritics or special characters. If they still don't display properly, or you're not comfortable trying to update or install the font files yourself, please ask for assistance.

      The Login timeout setting may be changed to 180, which is the longest timeout that has been tested.

    • Check the Show this window on next startup option if you wish to see the Configuration every time you logon to WorkFlows.

  7. Toolbar
    1. Display ...
    2. Each WorkFlows module has a standard default toolbar. Catalogers should use the Cataloging toolbar listed as cat in the toolbar dropdown menu in the Config Toolbar window, which can be accessed through the Preference menu by clicking on Desktop/Toolbar/Display. Optionally, right-click on an empty area of the current toolbar and choose Toolbars from the pop-up menu to switch toolbars.

      The Config Toolbar window allows you to choose where you want your toolbar to display - Left, Right, Top or Bottom of the WorkFlows window. You can also drag the toolbar to the position you prefer.

    3. Modify ...
    4. Use the toolbar that best suits your work assignments. Choose it from the dropdown menu. Since toolbars may be customized, you can start with the toolbar having the most wizards you need, then add buttons for other wizards from other toolbars. You can also add groups.

    5. Save as ...
    6. The default toolbar for Cataloging is the cat toolbar. If you customize it, you will be prompted to save it before exiting WorkFlows. You may also save it before then through the Preference menu by choosing Desktop/Toolbar/Save as. You will be asked if you want to save your toolbar to your PC only or to the server.

      Save options for modified toolbar

      Whether or not you are running WorkFlows off the Network instead of using MultiFlows, which runs WorkFlows off your computer, choose to save to your PC only. When saving your customized toolbar, which you will be prompted to name next, it is recommended that you choose a name other than cat or any of the default toolbar names. Even though you choose to save the toolbar to your PC only, if you are running WorkFlows off the Network, it will be saved in your User drive in the SIRSI/workflows/TOOLCUST folder.

      **Note: Choosing to save the toolbar to the server creates a TOOLBAR folder in your User drive in SIRSI/workflows. Afterwards, while you may be able to access the customized toolbar just saved, you may no longer be able to access any of the other toolbars. If that is the case, deleting the TOOLBAR folder from your User drive will give you access to them again.

    7. Remove ...
    8. To remove, or delete, a customized toolbar that you no longer need, click on Desktop/Toolbar/Remove in the Preference menu. Make sure you are not currently displaying the toolbar you wish to remove. If you are, it's name will not show up in the Remove Customized Toolbar list.

      Click on the name of the customized toolbar you wish to remove to highlight it, then click on OK. The toolbar should now be removed and no longer be listed in the toolbar dropdown menu.

  8. Miscellaneous Settings
  9. Change Max response size value to 2,000,000 by adding one zero, especially if you will be working with serial records. This ensures that you can view the complete display of volume records when viewing the All Volumes tab.
