By now, many of you have seen some unusual behavior when using
the replace current record option from Smartport. Below are some
tips on how to do this smoothly in the hope that it will save you
some time.
- There are two Loading Bib Record windows. The first one is
the initial capture. When you click OK to store it, a second window
appears (still called Loading Bib Record) with additional fields
plus the bib information you just stored. At this time, changing
the Library field on the first Loading Bib Record window is futile,
so don't bother.
- By using the replace current record option, Workflows will
load into the Call number field the call number from the record
you're replacing instead of from the call sources of the incoming
record. It will only use the incoming record's call number if the
record it is replacing has an AUTO generated call number (e.g.,
XX(blah blah blah)). In most cases, you will have to copy and paste
the call number from the bib record. Make sure you remove the "|b"
from the call number after you have pasted it into the Call number
field. Make sure you update the Class scheme if needed.
- The second Loading Bib Record window provides you with fields
to change the home location, new item ID (barcode), library, and
date cataloged. Do the following:
- Update your library in the Library field of the Call Number
Info section ONLY.
- Update the home location in the Copy Info section ONLY.
- Update the date cataloged if you are done with this record.
- Don't forget to update the new item ID (barcode). The system
automatically puts in one of its specially designed dummy numbers.
When you update both Library fields, the system gets grouchy and
kicks you out of the record, at which point, you will need to go
to your favorite wizard to continue. It isn't known why the Current
location and the Library field in the Copy section are editable.
They aren't in any of the other cataloging wizards (that I'm aware
of).
The reason why the documentation lacks this information is because
it was written when we had version 99.4. We had not anticipated
that the replace current record option would change this much. It
will be updated sometime in the future, once we get a response from
LCS concerning the current behavior.
