  1. Item Lookup
  2. The Item Lookup search window appears after the Set Properties window, which appears when a Wizard is first open. Default search methods for each Wizard can be set by adjusting the Lookup Preferences in the Set Properties window. If Lookup Preferences are changed as Wizards are opened and used, the new preferences will stay in effect for that WorkFlows session only. Once WorkFlows is closed, they will revert back to default status.

    To permanently change Lookup Preferences so that they are maintained across sessions, right click on an individual Wizard and choose Properties from the popup menu. Adjust the Lookup Preferences options and click on OK. When WorkFlows is closed, you will see a message saying, "Properties have been changed, save changes?". Click on Yes if you want to save the changes you made for subsequent sessions.

    Note: Any Properties changed by right clicking on a Wizard first will be saved from session to session in this manner.

    1. Search
    2. The Search option will perform Keyword searching. This means that all results displayed will contain the search terms you entered. To narrow search results, use Boolean operators (i.e., and, not, or) or limit searching to a particular field by following the search term(s) with the proper MARC tag number enclosed in curly brackets. Consult WorkFlows Help for additional search strategies.

      Choose one of the following Search indexes.

      1. Author
      2. Search Personal or Corporate authors and Conference names in 1XX/7XX fields.

      3. Call Number
      4. Search Call Numbers from Vol/Copy records. To successfully retrieve a record using this Search option, you must enter an entire call number for an item exactly as it appears in the Vol/Copy record.

      5. General
      6. Use this Search option to perform numerical searches (e.g., ISBN, ISSN, LCCN, etc.). This option can be used to search any term in any indexed field.

      7. Item ID
      8. Search barcode numbers or system generated item id numbers using this option. A single record will display if a match is found.

      9. Periodical Title
      10. Search serials or periodicals.

      11. Series
      12. This search option will retrieve records containing your search terms in 4XX/8XX fields.

      13. Subject
      14. Use this option to search terms in 6XX fields.

      15. Title
      16. Search terms will be searched in all indexed title fields.

      17. Title Control #
      18. The Title Control # is a supposedly unique record identifying number set by policy that can be found in the Control record. This search will display a Browse list. If a match was found for the Title Control # you searched, it will appear first in the display.

    3. Begins with (i.e., Browse)
    4. The Begins with option will perform Browse searching. Results display in an alphabetical list in the vicinity of your search term(s) that can be browsed forward or backward. If a single result is retrieved, the record will display.

      Choose the search index you wish to perform a Browse search on from the dropdown list. See Summary of Fields Indexed via Browse and Keyword Keys.

      Note:

      Word order makes a difference, unlike with Keyword searching.

      Browse Call Number searches can only be performed within a single Library, which must be chosen from the Library dropdown list.

      A Begins with, or Browse, Title search will not retrieve shadowed titles, but a Keyword Title search will.

    5. Exact
    6. This search option can be used to search headings. If a single record is found with your search term, it will display. If the search term is not found, a Browse list will display. If more than one record is found for the search term(s) entered, a hit list will display; however, it is suggested that Exact searches be limited to specific number or code searches (e.g., Call Number, Item ID, Title Control #). If not found, a message will display saying so.

    7. Current Title
    8. Use this search option to display the last record that was viewed or modified.

  3. Search Options for Item Lookup
  4. The Set Options for Item Lookup helper is located in the top left corner of the Item Lookup window. Use it to modify a chosen search option and to customize your search display results. Modifications are retained until a different Wizard is opened.

    1. Search
    2. Choose the Search tab to limit and sort Search results based upon volume and copy properties.

      • Pubyear
        Modify to locate titles published on, before, or after a particular year, or within a range of years. Dates are retrieved from Date1 of the Fixed Fields data. Operators such as != (not equal to), ›= (greater than or equal to), ‹= (less than or equal to), › (greater than), or ‹ (less than) can be used to qualify the publication year.

      • Format
        Limit your search to a particular cataloging format.

      • Item Type
        Limit your search to a particular item type.

      • Location
        Limit your search to a particular Home Location. See the Home Location/Marking Description List.

      • Language
        Limit your search by one of the languages in the dropdown list.

      • Shadow
        Choose to include only records that are shadowed, only records that are not shadowed, or all records in your search.

      • Sort By
        Choose to sort results by one of the criteria listed.

    3. Begins with (i.e., Browse)
    4. Choose the Begins with tab within the Helper to modify a Call Number Browse search only.

      • Item Type
        Limit the titles retrieved to those having at least one copy in a particular Item Type.

      • Location
        Limit results by Home Location.

      • Call Number Type
        Limit search results by the type of call number as specified in the Class scheme field of a Vol/Copy record.

      • Max Calls to Skip
        It is recommended that you accept the default number.

      • Shadow
        Choose to include or exclude shadowed items from your search results.

      • Sort By
        Choose to sort results by one of the criteria listed.

    5. Display
    6. Choose the Display tab within the Helper to modify and limit search results based on specific individual item properties.

      • Display Library
        Limit results based on Library location. It is recommended that Cataloging personnel choose to search All Libraries in most cases.

      • View of Records
        The choices are ALL, FULL or BRIEF. These are Templates defined in the Policies and determine which bibliographic fields are displayed when viewing a record. Cataloging personnel should prefer to view ALL field entries.

      • Specific Volume
        Only Call Number records containing the volume number specified will display. Volume information must be entered exactly and include call number.

      • Shadow
        Choose to include or exclude shadowed items from your search results.

      • Items On Order
        Choose to display or not to display order information on viewed volumes. Cataloging personnel should choose "Yes".

      • Holdings
        Choose to display or not to display MARC Holdings information. Cataloging personnel should choose "Yes".

      • Order of Call #
        Choose to display call numbers in ascending (begings with volume 1 or earliest date) or descending (ends with volume 1 or earliest date) order.
