Requesting to Post Part-Time Vacancies

All part-time (wage payroll and work-study) vacancies at University Park are posted on the Libraries Jobs website and psu.jobs.  To request a part-time vacancy be posted, please contact Wendy Stodart, 814-863-4949.


Hiring New Employees

To comply with the Pennsylvania Child Protective Services Act, employment at Penn State University Libraries is contingent upon the successful completion of the following clearances: 

    - Pennsylvania State Police Criminal Backgound Check (SP4-164)
    - Pennsylvania Child Abuse History Clearance Form (CY-113)
    - Federal (FBI) Fingerprint Background Check (Criminal History Report)

All employees will need to have completed background checks and clearances before beginning employment. Please remember when offering employment to mention that it is contingent upon satisfactory background checks and the individual cannot begin working until the results are received.  To initiate the process, please contact LHR, who will also notify the hiring supervisor when the results have been received.

The following forms should be completed by supervisors at the time of hire for all new employees.

Penn State Access Account Application (if pending employee doesn't already have an active account)

Give the following policies to new employees at the time the employee signs the form:

-AD20 Computer and Network Security
-EDUCOM Statement

Original to ITS Accounts Services Office (204 Wagner Building), Must have new employee and supervisor signatures.
Online Account Request System (Formerly Libraries Application for Computer Access)
Complete the online form to request access for: Workflows, Desk Tracker, etc. Requests for access are then sent automatically to appropriate account managers.

*The orientation times for new part-time employees are:

  • Tuesdays, 12:15 p.m. in 511 Paterno
  • Thursdays, 3:45 p.m. in 511 Paterno

Please Note:  Contact Libraries Human Resources if these times are not convenient in order to schedule another time for the new employee to attend.

All new employees must attend a new hire orientation before beginning employment to complete the required paper work and to receive information about part-time employment. It will take approximately 15-20 minutes.

New employees will need to bring to the orientation original, unexpired documents from the List of Acceptable Documents, found on page 9 of the I-9 form. Either one document from List A or one document from Lists B and C must be presented.

 

Rehiring Employees

A previous employee can be rehired without reapplying on a posted job in certain situations.  For example, the employee may not have been working due to an internship/co-op, study abroad, and/or summer break.

If the returning employee has a completed background check on file or has worked for the University within the past six months, a background check does not need to be completed.

Terminating Employees

Please complete all sections of the form. Original to LHR
Transfer/Separation Checklist As per HR102 Separation and Transfer Protocol, supervisors are required to complete all sections of the form. Original to LHR
Online Account Request System (Formerly Libraries Application for Computer Access) Needed to successfully delete access to Libraries resources.
Request for deletion of access is then sent automatically.
Parking Permit (if applicable) Please remind the employee to return the parking permit on the last day of work. LHR

 

Creating or Changing Wage/Work-Study Positions

The following form should be used to request a wage exception.

Hiring Temporary Wage Employees

Temporary job opportunities are used to help departments fill longer-term, but temporary, openings in unit schedules and for short-term unit projects.  The sharing of wage staff across units promotes cross-unit communication, a wider knowledge of the Libraries, and facilitates staff development. 

Temporary Job Information:

  • Wage employees are responsible for making sure they do not work more than 40 hours per week at Penn State or violate their visa work limits. 
  • Temporary positions will not exceed 4 months in duration.
  • Employees will be paid at the base rate that corresponds with the position level.

Performance Evaluations for Wage/Work-Study Employees

All part-time employees participate in an annual performance review similar in philosophy to the SRDP (Staff Review and Development Plan) used for full-time staff.  For more information, please visit the Performance Evaluations for Wage/Work-Study Employees website.
